Publications

The Publications service of the IBI was responsible for the production and distribution of the Organization's periodicals, such as, for example, Agora, IBI Press and the IBI Newsletter. The service was also responsible for the official documents for conferences, the working documents and the studies published by IBI. The audio-visual unit produced video and audio recordings of conferences, as well as audio-visual material publicizing the activities of the organization. The series contains all types of publications created by the IBI (reports, working documents, conference documents, etc.) in either draft form or in printed, final form which was ready for distribution within or outside the organization.

Documentation files

La sous-série des dossiers thématiques est constituée de dossiers par thème regroupant des articles ou coupures de presse relatives à un un sujet donné. Il y a également des publications sur des thèmes divers concernant l'informatique. Les dossiers sont classés par code alphanumérique (code du centre de documentation). Plusieurs dossiers et pièces manquant une code se trouvent au fin de la sous-série - ils sont classés par ordre alphabétique.

History of the IBI

Subseries consists of a box of material marked "Histoire de l'IBI." It contains different types of documents relating to the creation of the IBI (starting in 1951), the Constitution Committee, and the provisional International Computation Centre. Copies of the legal agreements with the Italian government (headquarters agreement, official journal, decree, etc) are also in the files. In addition to this, there are also copies of memoranda reviewing the situation of the Organization and its future prospects. There is also a paper by the 'DEA' which documents the history of the organization from its creation through to the 1980s.

Legal Advisor records

Subfonds contains agreements between the IBI and state members, as well as files related to certain legal quesions. The subfonds appears to be incomplete. It has been arranged into three series:

-IBI/7/3 Correspondence

Governmental organization files

The subseries consists of files on international, regional and national governmental organizations that had official relations or some sort of exchange with the IBI. Most files are relatively thin, with the exception of the following: relations with UNESCO (IBI/6/1/1/34) and relations with UNCTAD (IBI/6/1/1/32). The files appear to be complete although it is likely, as with other series, that there are gaps in the correspondence for years prior to 1980.

Outgoing correspondence

Subseries consists of outgoing mail as registered by the Secretariat of the Director General. The series is incomplete. Files prior to 1985 are missing except for one dating from 1983. There are small gaps in files from the beginning of 1985; however, files from that point onwards to 1988 are more complete.

Consultative Scientific Committee

The Consultative Scientific Committee was created by a decision at the 13th Session of the General Assembly of the IBI as part of a larger initiative of reflection on the Organization, its present situation and its future prospects. The Scientific Committee was proposed as a supporting body to IBI programme activities which would meet every two years to study and propose state of the art technologies and their use for the socio-economic and cultural development of member states.

The series consists of correspondence about the Committee exchanged between 8 January to 2 February 1987. One of its sessions seems to have been held on 20-21 January 1987. Any possible official documents from these meetings are missing.

General Assembly records

The General Assembly subfonds consists of four series:
-series IBI/1/1 contains the official documents of the General Assembly sessions
-series IBI/1/2 contains the official documents of the Management Committee
-series IBI/1/3 contains the transcriptions of debates at the General Assembly
-series IBI/1/4 contains sound recordings of some General Assembly and REVCO sessions

Working documents

Documents (in French, English and Spanish) and correspondence (from between 7 May to 30 June 1980, and 27 September 1985 to 18 February 1986) of the Study Group on the application of Article XIII of the Convention of the IBI and of the Consultative Programme and Budget Committee. The Study Group and Committee met in Rome, 7 May 1986.

Consultative Programme and Budget Committee

The Consultative Programme and Budget Committee was created by the 53rd Session of the IBI Executive Council. It held its first meetings on 27-28 February 1986 in Rome. The purpose of the Committee was to analyze proposals for programme activities and the budgets submitted by the Director-General for the years 1987-1988 and then to make recommendations based on its analysis to the Executive Council. The series mostly contains documents and correspondence exchanged by members of the Committee around the time of its meetings.

Liquidation Committee

The sousfonds contains financial and legal documents related to the liquidation of the IBI. It also contains working documents, meeting reports, correspondence as well as the documents, decisions and audio-recordings of the 6th Extraordinary Session of the General Assembly. The sousfonds also contains the flag of the IBI.

Executive Council sessions

The IBI Executive Council met for 57 ordinary sessions and 4 extraordinary sessions. The series consists of an incomplete set of files on the sessions, containing the Council's decision and reports on the programme activities and finances of the Organization. The series starts at the 18th Session. Information on prior sessions can be found in the reference documents of the office of the Director-General of the IBI (series IBI/5/1/1).
