Archives du Directeur général adjoint M.S. Adiseshiah

The series contain mostly copies of letters, memos, cables, mission reports signed by Adiseshiah or his Executive Assistants, as well as speeches and addresses delivered by him. Most items are of official character, however some are semi-official or personal. There are a few letters received in the files, however the majority of correspondence is out-going mail. There are also inspection reports and mission reports, documents on the negotiations with the representatives of Member States, as well as discussions with UNESCO representatives, officials and experts in the field. The series is arranged in 11 subseries, however, files are numbered sequentially despite the subseries.

Relations avec les Organisations Non Gouvernementales

Series consists of files on Non-Governmental Organizations (NGOs) with whom UNESCO maintains or maintained official relations. It reflects the process of admission to categories of official relations as well as the ongoing activities undertaken in observance of the obligations of such categories. The files contain information on the NGO itself, but not necessarily on projects undertaken jointly with UNESCO. Files are arranged chronologically reflecting different transfers over time, and then roughly alphabetically by the French name of the NGO.

Accords signés avec les états membres

La série renferme essentiellement des instruments juridiques signés entre l’UNESCO et les états membres, y compris les agences et les agences publiques. Les instruments comprennent les accords de coopération, les accords de siège, les accords fonds-en-dépôt, et les plans d’opération. De plus, la série se compose des accords signés entre l’UNESCO et les organisations internationales, multilatérales, ou régionales, ainsi que les conventions et les recommandations multilatérales adoptées par la Conférence générale ou par une conférence intergouvernementale qui a désigné l’UNESCO comme dépositaire. The Archive Group includes the documents of all Executive Boards from 1946 onwards.
For every session of the EXB, the following kinds of documents exist:

  • EX - Main series: These documents are published on white paper in six working languages of the EXB. On the first page, there is always a summary of the document. At the end of this summary, the paragraph of the draft decision is noted.
  • EX/INF - Information documents: These are published also on white paper, but only in English and French.
  • EX/PRIV - Private documents: The private documents are on yellow paper. On the left hand side, they are marked as “confidential” and their distribution is limited (20-year rule applies for access to these documents in the documents).
  • Draft decisions: Draft decisions are on pink paper. On the right hand side, the reference code DR is joined to the other codes in reference to their submission. Under the item, the names of the countries which presented the DR are noted.
  • Decisions: The final edition is published in the month following the session.
  • Summary records: these documents are prepared in the six working languages of the Board. A summary of speeches made in Arabic, Chinese, Russian or Spanish is published in the original language, followed by the translation into English or French. They are published in provisional form to be distributed to Members for possible amendments. They are then issued in a single document that forms the definitive version.
