The Archive Group has three fonds:
-Archives of the Intergovernmental Bureau for Informatics (IBI)
-Archives of the International Council for Philosophy and Humanistic Studies (ICPHS / CIPSH)
-Part of the archives of the African Training and Research Centre in Administration for Development (CAFRAD), from the years 1961 to 1973, 2 boxes

Country files

The External Relations service of the Cabinet of the Director-General was responsible for relations with member and non-member states. Files are organized by country and mostly contain correspondence. Other possible documents attached to the correspondence include: reports, meeting documents, and cooperation agreements. The original order of the series was maintained - the files are roughly in alphabetical order as each country was assigned a number such as, for example: C.1 Afghanistan, C.2 Albania, C.3 Algeria, etc. In seems that in most cases files dating from before 1982 are missing. This is most apparent for countries which had many exchanges with the IBI, such as Italy, France, Spain and the United States of America, for example. Files for those countries represent the bulk of the series.

Cette série de dossiers contient des épreuves et brouillons au contenu héteroclyte. On y relève particulièrement des documents relatifs aux centres régionaux (documents officiels CREAL et CRIBI), Transborder Data Flows, au Groupe de Cali, Groupe de Yamoussoukro, à la base de données AIDS du service de l'information, également les séries de couleur (rouge, beige, jaune), et des rapports.

Executive Council records

The Executive Council subfonds is arranged into the following series:
-IBI/2/1: Executive Council sessions
-IBI/2/2: Executive Council session transcriptions
-IBI/2/3: Reflection Committee
-IBI/2/4: Consultative Programme and Budget Committee
-IBI/2/5: Consultative Scientific Committee

Secretariat of the Director-General records

The subfonds contains copies of outgoing mail as well as the IBI’s incoming and outgoing correspondence (letters and telexes). There are gaps in each of the series in the subfonds: IBI/5/1/1 Originals, IBI/5/1/2 Outgoing, and IBI/5/1/3 Telexes and telegrammes. For series IBI/5/1/1 Originals, mail is missing prior to the last trimester of 1982. After this time, the series is relatively complete and regular until the first trimester of 1988. Series IBI/5/1/2, Outgoing correspondence, is more fragmented and incomplete and does not contain any documents prior to 1983. Series 5/1/3 contains only a few files of incoming telexes and telegrams for the years 1986-1987.

Information and documentation

The IBI Documentation Centre maintained a library of material related to informatics or information technologies. The material was organized according to thematic groupings which were assigned a classification code. The series has three subseries, including one on the history of the organization from its creation to the 1980s entitled "Histoire de l'IBI."

Reference documents

The series consists mostly of summaries of the decisions taken and agendas for the meetings of the General Assembly and Executive Board. Although the material partly duplicates information found elsewhere, the series was retained to compensate for gaps in the subfonds IBI/1 General Assembly records and IBI/2 Executive Board records.

External relations records

The External Relations service in the Cabinet of the Director-General was responsible for maintaining relations with member countries, non-member countries and organizations operating in the field of informatics (with or without formal cooperation agreements with the Organization). The service kept up-to-date information on the IBI's relations with these actors as well as reports on shared activities. The files consist primarily of correspondence exchanged between the IBI and the country or organization. Beyond letters, telegrams and telexes, the files include reports, brochures, and copies of agreements. The series has been arranged into three subseries:
-IBI/6/1/1 Governmental organization files
-IBI/6/1/2 Non-governmental organization files
-IBI/6/1/3 Country files

General Assembly Sessions

The General Assembly met for 13 ordinary sessions and 6 extraordinary sessions. The documents include information on: decisions made at each session; financial reports; and, reports on the activities and budget of the Organization. Records from the 8th session of the General Assembly are missing from the series.

Committee for the Revision of the IBI Convention

The Committee for the Revision of the IBI Convention (REVCO) was an ad hoc committee of the IBI General Assembly. The Committee was convoked when a new revision of the Convention was being discussed. The subseries in particular contains examples of possible revisions to the Convention and to the internal regulations of the Organization since its creation. The subseries consists only of working documents from the Committee’s work in the 1980s.

Reflection Committee

The Reflection Committee was established by a decision of the IBI Executive Council during its 54th session in April 1986. The Committee's purpose was to evaluate the present situation of the Organization and to reflect on future orientations and prospects. The Committee was composed of former Presidents of the governing bodies of the IBI - the General Assembly or the Executive Council. The series contains correspondence and records of the meeting of the Committee.

Management Committee records

The Management Committee met five times in the scope of its duties:

Beyond official documents issued from these meetings, the subfonds contains working documents (drafts, correspondence, agendas, etc) and a transcription of the fifth meeting.

1ère et deuxième sessions ordinaires et première session extraordinaire de l'Assemblée générale

Documents (français et anglais) de la 1ère session de l'Assemblée générale tenue à Paris du 30 janvier au 2 avril 1962 ; documents (français, anglais) de l'Assemblée générale extraordinaire tenue à Rome les 25 et 26 septembre 1964 ; documents (français, anglais) de la seconde session organisaire de l'Assemblée générale tenue à Rome, du 29 septembre au 2 octobre 1984.

Executive Council sessions

The IBI Executive Council met for 57 ordinary sessions and 4 extraordinary sessions. The series consists of an incomplete set of files on the sessions, containing the Council's decision and reports on the programme activities and finances of the Organization. The series starts at the 18th Session. Information on prior sessions can be found in the reference documents of the office of the Director-General of the IBI (series IBI/5/1/1).

Liquidation Committee

The sousfonds contains financial and legal documents related to the liquidation of the IBI. It also contains working documents, meeting reports, correspondence as well as the documents, decisions and audio-recordings of the 6th Extraordinary Session of the General Assembly. The sousfonds also contains the flag of the IBI.

Correspondances avec les organisations et pays membres et non membres de l'IBI

Les correspondances du comité de liquidation concernent avant tout les modalités de règlement financier des employés licenciés et du matériel de l'IBI. Une part importante de la correspondance est faite avec le gouvernement italien d'une part, et l'UNESCO d'autre part. Les correspondances avec l'UNESCO concernent les modalités de versement des archives de l'IBI à l'UNESCO. Les correspondances avec les organisations internationales et les autres pays sont essentiellement des courriers de demande d'information sur la publication de l'IBI AGORA, les conférences et programmes en cours de l'IBI et les notifications de liquidation de l'organisation par Dino Valenza.
